These Terms of Service ("Terms") constitute a legally binding agreement between you and UK Wide Business Centre Ltd ("UKWBC", "we", "us", "our") regarding your use of our virtual office services and website.

By creating an account, subscribing to our services, or using our platform, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, please do not use our services.

2. Definitions

  • "Services" means the virtual office, mail handling, and related services provided by UKWBC
  • "Subscription" means your recurring payment plan for Services
  • "Customer" or "you" means the individual or business entity using our Services
  • "Business Address" means the Stoke-on-Trent address provided for your use
  • "Mail" means postal correspondence addressed to you at your Business Address

3. Services Provided

3.1 Virtual Office Address

  • QR code generation for mail collection
  • Collection history tracking
  • Email notifications for important updates

4. Account Registration & Verification

4.1 Eligibility

You must be at least 18 years old and legally capable of entering into binding contracts. Services are for legitimate business purposes only.

4.2 Identity Verification

To comply with UK anti-money laundering regulations, you must provide:

  • Valid photo ID (passport or UK driving licence)
  • Proof of address (utility bill, bank statement, council tax bill - dated within 3 months)
  • Verification may be conducted electronically or by manual review

4.3 Account Security

You are responsible for maintaining the confidentiality of your password and account. Notify us immediately of any unauthorized access.

5. Subscription & Payment

5.1 Pricing

Current pricing is displayed on our website. We reserve the right to change prices with 30 days' notice to active subscribers.

5.2 Billing Cycle

  • Subscriptions are billed monthly in advance via Stripe
  • Payments are automatically charged on your renewal date
  • Failed payments may result in service suspension after 7 days
  • You will receive email reminders before suspension

5.3 Refund Policy

No Refunds: All subscriptions are non-refundable. You may cancel at any time, and your service will continue until the end of your current billing period.

6. Cancellation & Termination

6.1 Your Right to Cancel

  • You may cancel your subscription at any time from your dashboard
  • Cancellation takes effect at the end of your current billing period
  • No partial refunds for unused time in the billing period
  • You have 30 days after cancellation to collect any remaining mail

6.2 Our Right to Suspend or Terminate

We may suspend or terminate your account immediately if:

  • You breach these Terms
  • Payment fails and is not resolved within 14 days
  • You provide false information during registration
  • We suspect fraudulent, illegal, or abusive activity
  • We are required to do so by law or regulatory authority

6.3 Effect of Termination

Upon termination, you must immediately stop using the Business Address. Any uncollected mail will be held for 30 days, then disposed of securely.

7. Acceptable Use Policy

7.1 Permitted Uses

You may use your Business Address for legitimate business purposes including:

  • Business registration with Companies House
  • Business correspondence and invoicing
  • Marketing materials and business cards
  • Professional online presence

7.2 Prohibited Uses

You must NOT use our services for:

  • Illegal activities or fraudulent purposes
  • Money laundering or terrorist financing
  • Adult entertainment or gambling businesses
  • High-risk financial services without our prior written consent
  • Personal residential use
  • Excessive mail volume (>20 items per week without prior arrangement)
  • Receiving restricted or prohibited items (weapons, drugs, hazardous materials)

8. Mail Handling Procedures

8.1 Mail Collection

  • Collection available during office hours (Mon-Fri 9am-5pm, Sat 9am-1pm)
  • Must present your QR code for collection
  • Photo ID may be requested for verification
  • You may authorize third parties to collect on your behalf (written authorization required)

8.2 Uncollected Mail

Mail uncollected for 30 days will be disposed of securely. We are not liable for any consequences of uncollected mail.

8.3 Undeliverable or Suspicious Items

We reserve the right to refuse delivery of suspicious packages and will report illegal items to authorities. Registered or recorded delivery items require signature at our discretion.

9. Limitation of Liability

9.1 Service Availability

We aim for 99.9% uptime but do not guarantee uninterrupted service. We are not liable for losses arising from:

  • Technical failures or maintenance
  • Third-party service disruptions
  • Force majeure events (strikes, natural disasters, etc.)
  • Postal service errors or delays

9.2 Exclusions

To the fullest extent permitted by law, we are NOT liable for:

  • Lost, damaged, or delayed mail
  • Indirect, consequential, or special damages
  • Loss of profits, revenue, or business opportunities
  • Data loss or corruption

Maximum Liability: Our total liability shall not exceed the fees paid by you in the 12 months preceding the claim.

10. Intellectual Property

All content, trademarks, and materials on our platform are owned by UKWBC or licensed to us. You may not copy, reproduce, or distribute our content without written permission.

Your use of our services does not grant you any ownership rights to our intellectual property.

11. Data Protection

We process your personal data in accordance with UK GDPR and our Privacy Policy.

By using our services, you consent to such processing and warrant that all data provided is accurate.

12. Governing Law & Disputes

12.1 Governing Law

These Terms are governed by the laws of England and Wales.

12.2 Dispute Resolution
